Overview

What this application does

Keeping invoices organized, tracking payables, and getting new products into Shopify are some of the messiest parts of running a retail business. This application brings those workflows together in one place, so invoices can move from vendor email to parsed record to exportable product data without the usual manual re-entry. The fastest path is simply forwarding an email with a PDF invoice attachment into the system and then managing that invoice from the site.

When vendor product data arrives as a spreadsheet instead of a PDF, the CSV Mapper provides a similar guided workflow for CSV and XLSX files. You can map document columns to fields like SKU, description, quantity, unit price, UPC, and image source, then export a Shopify-ready CSV without rebuilding the file by hand.

You can also connect your Shopify store from Team Settings so the app can help you avoid creating duplicate products. Once Shopify is connected, invoice and Quick Parser review screens can check parsed SKUs and UPCs against your current Shopify catalog, show potential matches, and display the current Shopify price before you export.

To connect Shopify, open Team Settings and enter your store's myshopify.com address. After that, duplicate checking becomes available anywhere product rows are ready for export.

Invoice layouts vary wildly from vendor to vendor. The parser already handles dozens of popular vendor formats, with more being added over time. When a vendor or layout is not recognized, the Quick Parser provides a guided manual path so you can still recover the invoice and its line items yourself.

Invoice Capture And Processing

  • Upload invoice PDFs and images directly from the app.
  • Forward vendor emails with attached invoices to a team inbox and create invoices automatically.
  • Automatically extract vendor, invoice number, dates, totals, addresses, and line items from uploaded documents.
  • Parse dozens of popular vendor layouts automatically, with support continuing to expand.
  • Handle unrecognized invoice layouts with the Quick Parser instead of stopping at a dead end.
  • View the original invoice PDF and, for emailed invoices, the original email body.

Review, Correction, And Export

  • Review parsed invoices inside the app and update invoice details as needed.
  • Use the Quick Parser to recover difficult tables, choose sample rows, exclude stray rows, and teach the system how to read the invoice.
  • Use the CSV Mapper to upload CSV or XLSX files, map source columns to product fields, and review the output before export.
  • Save manually recovered line items back onto the original invoice when the automatic parser was incomplete or inaccurate.
  • Search, sort, paginate, and track invoices from a single index page.
  • Track invoice status and use color-coded due date indicators to monitor payables.
  • Export line items to CSV using configurable templates, including Shopify-oriented exports.

Vendor, Team, And Admin Tools

  • Manage vendors in one place, including vendor search and vendor-specific invoice history.
  • Track vendor credit memos and attach supporting documents.
  • Add notes and logs to invoices and vendors for operational follow-up.
  • Share work across a team with invitations, memberships, and a team-specific inbound invoice address.
  • Restrict access by owner and team so users only see the data they should.
